WHY IT MATTERS

The quotation is the bill, earlier

A quotation, a sales order, a delivery challan and an invoice are the same set of lines at four points in time. Treating them as four separate documents to be prepared is how businesses end up delivering at a rate they did not quote, or invoicing for goods they did not send.

Treated as one chain, the quotation becomes the order, the order drives the delivery, and the invoice comes off what was actually delivered. Nothing is retyped, so nothing drifts.

Quotations that look like your business

On your letterhead, with your terms and a validity date, sent on WhatsApp or by email from the screen they were made on. Revisions are held as versions rather than overwriting the first one.

Converted, not retyped

An accepted quotation becomes a sales order in one step, carrying its rates and discounts with it. What you quoted is what gets ordered.

Advances and part deliveries

An advance is recorded against the order and adjusted at invoicing. Where goods go out in stages, each delivery is against the order and the balance is always visible.

Invoiced from what was delivered

The invoice is generated from the order and the deliveries against it, so the bill matches what actually left your premises.

Can I see which quotations are still open?

Yes — open, accepted, lost and expired, with values. For businesses where quoting is most of the selling, this is usually the first report the owner starts reading.

Does stock get held when an order is taken?

It can be reserved against the order so it is not sold twice, while remaining visible as committed rather than simply disappearing from stock.

What if the customer changes the order?

The order is revised and the change is recorded against it. Deliveries and invoicing follow the current version, and the earlier one remains on record.
